Job Summary:

The HR Assistant for Talent Management will support the Human Resources and Administration team in creating a positive and engaging work environment through the planning, execution, and communication of employee engagement initiatives. This role focuses on enhancing company culture by organizing memorable events, creating dynamic communication materials and/or employee engagement.

Specific Duties and Responsibilities:

  • Write and design content for internal newsletters, social media posts, posters, and video scripts related to employee engagement events.
  • Proofread and edit content to ensure clarity, accuracy, and alignment with PhilJets’ tone of voice.
  • Design promotional materials such as event flyers, posters, and email templates using design tools (e.g., Canva, Adobe Photoshop, Video editing).
  • Upload content to PhilJets’ social media platforms and intranet, ensuring consistent engagement and regular updates.
  • Track engagement metrics on social media platforms and provide feedback for future content improvements.
  • Lead in brainstorming and ideating creative employee engagement activities, working with the HR team to align with the company's culture and values.
  • Coordinate with vendors, catering services, and other external partners for event services, including sourcing quotations, managing contracts, and ensuring timely deliveries.
  • Prepare event materials such as decorations, gifts, certificates, or awards, ensuring all logistics of the materials needed are covered well in advance.
  • Create detailed timelines and task lists for each event, ensuring timely completion of all action items.
  • Regularly audit and update PhilJets' internal communication platform to ensure the content remains current and easily accessible.
  • Develop and maintain a content calendar for employee engagement communications, ensuring that important dates and events are highlighted.
  • Prepare and submit cash advances for event expenses in coordination with the finance team, ensuring accurate cost estimation and timely requests.
  • Keep accurate records of all event-related expenses and ensure prompt liquidation of cash advances.
  • Reconcile event budgets, keeping track of expenditure vs. budgeted costs, and report any discrepancies or overages to the Immediate Head.
  • Create and maintain masterlists of event participants, ensuring accurate record-keeping and efficient communication.
  • Send personalized invitations and reminders to employees via email, chat, or internal communication platforms.
  • Create post-event surveys or feedback forms to gather employee feedback.
  • Analyze survey data to assess the success of events and identify areas for improvement.
  • Compile comprehensive evaluation reports, including key metrics (e.g., participation rates, feedback results) and recommendations for future events.
  • Prepare regular reports on employee engagement efforts, including a summary of upcoming events and recent activities.
  • Assist the Immediate Head in terms of recruitment, if necessary.
  • Collaborate closely with the Immediate Head in the areas of Performance Management, Training & Development, Employee Engagement, Recruitment, and/or Marketing.
